📢 From 13 October 2025, Companies House will fully upgrade the WebFiling login process — all companies must prepare in advance!
Recently, we have been receiving official notifications from Companies House regarding an important change to how users log into the WebFiling account system. Starting 13 October 2025, all users must access WebFiling through GOV.UK One Login. Without completing this update, you will not be able to submit company filings (such as confirmation statements, director updates, registered address changes, etc.).
Although this update appears to be a simple technical upgrade, it will have a direct impact on your company’s ability to remain compliant. If you regularly submit documents via WebFiling, please complete the account update and linking process before 11 October to avoid login issues that may delay statutory filings.
1. Key changes in this update
Companies House is gradually unifying all digital service access points under the GOV.UK One Login identity verification system. This means:
- The old WebFiling login credentials will no longer be valid.
- You will need to verify your identity through One Login, then connect your existing WebFiling account.
- Each WebFiling account can only be linked to one One Login account.
- If multiple people currently share one WebFiling account, they will each need to create their own One Login account and then be granted filing access through authorisation.
2. Actions businesses must take immediately
To avoid disruption, we recommend that companies or company secretaries:
Check and update your registered email
Ensure the email linked to your WebFiling account is valid and can receive verification emails.
Use a unified email address
If you also have a “Find and update company information” account, use the same email for smoother integration.
Review your authorised company list
Log in to WebFiling → go to “Your companies” → remove companies or users you are no longer responsible for.
Link GOV.UK One Login in advance
If you already have a One Login account (e.g., used for HMRC or other government services), connect it to WebFiling early to minimise transition risks in October.
Record your company authentication codes
After the system changeover, you may need to re-enter each company’s Authentication Code for authorisation.
3. Scheduled system downtime
Companies House will suspend WebFiling services from:
11 October (early morning) to 13 October, 8:00 AM
for system migration and upgrades.
Please ensure that all necessary filings are completed beforehand to avoid missing statutory deadlines.
4. Legal and compliance implications
Although the update is mainly technical, it may affect corporate governance and compliance filing processes:
• Risk of missing statutory filing deadlines
If you fail to complete One Login linking, you may be unable to submit confirmation statements or annual accounts on time.
• Clearer allocation of filing responsibilities
Shared accounts will no longer be feasible. Companies will need to clearly designate who is responsible for each filing, ensuring accountability and internal record-keeping.
• Privacy and data security
One Login enhances security, but companies should also implement internal account management policies to prevent credential misuse or leaks.
5. Our recommendations
We advise all companies to:
- Complete all account checks and connections before 13 October;
- Review and streamline internal filing processes;
- For companies with multiple UK entities, consider adopting a centralised system whereby a company secretary or compliance officer manages all filing permissions;
- Refer to the Companies House official updates page or consult your legal advisor if you need guidance.
Conclusion
Although this is a routine system upgrade, it introduces new requirements for filing procedures and access control. Preparing early will ensure ongoing compliance and help your business operate smoothly within the evolving digital regulatory environment.
